Personal Assistant resume example for Junior PA (1 year), modern template, showing professional summary, work experience, projects, skills, education and certifications

Personal Assistant Resume Format, with 3 Full Samples

A personal assistant is hired on evidence that one busy individual's professional and personal life runs smoothly and privately because of you: their schedule, their travel, their commitments and the many small things they no longer have to think about. Yet most PA resumes in India say maintained diary, made bookings and handled correspondence without saying whose life, at what scale, or a single thing that ran better. Below are three complete resumes, one for a junior PA moving up from a front-office role, one for a PA to a company director, and one for a senior PA to a business promoter managing both a professional office and a household. After the samples come the format rules, how to show discretion and coordination rather than list them, the terms a parser matches literally, and the mistakes that end a screening before the person you would support ever sees the page.

The format that works for personal assistant resumes in India

Reverse chronological is the only layout worth using. Put the most recent role first, work backwards, and keep the dates in plain view. Functional resumes that group everything under Skills and drop the dates read as concealment, which is a poor signal for a role built entirely on trust. What a PA resume must do above all is name whom you supported and how much of their life you ran. PA to the director of a real-estate group, managing calendar, travel and household tells a hiring individual the level and the breadth in one line, where handled personal work could mean anything. Lead every role with the person you supported, then the breadth of what you owned: calendar, travel, correspondence, household, personal finances. One page holds everything a junior or mid-level PA has to say. A senior PA to a promoter or family office with a decade of history can run to a second page, but only if that page carries real household, team or family-office scope rather than a longer list of errands. Keep it clean and discreet, because a PA resume is itself a sample of your judgement about what to say and how. Four things belong nowhere on the resume: date of birth, marital status, father's name and a full postal address. A PA supports private individuals, so protecting their identity matters too: name the type of principal and the group rather than anything that could expose a real private employer. Send a PDF unless the posting asks for DOCX, name the file with your name and target role, and use a single column so an applicant tracking system reads it in order. The table below sets the section order.

Writing a summary the person you would support actually reads

The block under your name is the part most likely to be read, and for a PA it must carry three facts: whom you support, how long you have done it, and how much of their life you run. Three or four lines, no adjectives that cannot be checked. The old objective line, a loyal and hardworking individual seeking a personal assistant position in a reputed organisation, tells the reader nothing they did not assume. Replace it with a summary. An objective describes what you want, a summary describes the leader whose day you have already kept running, and only one is evidence of trust. Junior PAs often think they have nothing to summarise. Look at the junior sample: it names the founder supported, the scale of the calendar, and one real improvement in travel booking. That is a genuine summary from one role. What it avoids is loyal, sincere and multitasker, phrases so common on PA resumes they now carry no information. A practical test for a senior PA: does your summary name the type of principal, director, promoter or family, and the breadth you own, professional plus household. If it could describe a junior admin, it is describing the job title, not you. Add the level of the principal and the specific breadth until it stops being transferable.

Professional summary, mid-level PA
Weak

A loyal, sincere and highly organised individual with 6+ years of experience in diary management, travel and personal assistance seeking a personal assistant role in a reputed organisation.

Strong

Personal assistant with six years supporting company directors, currently PA to the director of a real-estate group. Owns the director's calendar, international travel with visas, correspondence and personal commitments, and coordinates their household and family schedule alongside the professional one.

The rewrite trades self-description for the level of the principal, the breadth of support including the household, and the international travel that signals real trust.

Experience bullets: the principal, the breadth, the result

Every strong bullet in the samples follows the same shape. It opens with an action verb, names what you owned and how much of the principal's life it covered, and closes with a result where one exists. Manage, own, coordinate, rebuilt, run. The breadth tells a hiring individual how much of their world you can hold, and the result proves you improved it rather than only ran errands. Start with what was different because you were there. PAs tend to write the duty first, maintained the diary, and then cannot attach a result, which produces bullets that fit every PA who ever lived. Instead ask what your principal could stop worrying about: their diary never clashed, a trip ran without a hitch, no document ever lapsed, the household ran itself. Then write the sentence that ends in that fact. Vary the measure. Not everything is a number of appointments. Across a real PA role you can honestly reach for calendar volume, trips a year, household staff coordinated, documents kept current, events run, and the breadth across professional and personal. A senior PA should show family-office and household scope, not just a busy diary. Where you lack a number, give scope: how many homes coordinated, how many staff managed, how many trips a year, whether the support covered the family and the household as well as the office. Managing the household and estate staff across two homes carries weight without inventing a percentage. Allocate bullets by recency and seniority. Current role gets five or six, the previous role four or five, anything older two or three.

LevelWhat bullets must proveTypical measure
Junior PAYou keep one busy person organised and followed upCalendar volume, bookings made, commitments tracked, errands handled
2 to 5 yearsYou own calendar, travel and correspondence for a leaderMeeting volume, trips a year, renewals kept current, events run
6 to 9 yearsYou run the professional and personal life togetherHousehold coordinated, staff managed, personal finance tracked, discretion scope
10 years and upYou run a family office and a support teamHomes managed, team led, global travel, investments and philanthropy coordinated
Experience bullet, diary work
Weak

Responsible for maintaining the diary, making bookings and handling correspondence and other personal work as required.

Strong

Manage the director's full calendar, roughly 45 professional and personal appointments a week, protecting focus time and resolving clashes before they reach the director.

"Responsible for" describes a job posting; the rewrite names the principal, the scale of the calendar and the judgement of protecting them from clashes.

Experience bullet, document handling
Weak

Handled personal documents and renewals and made sure everything was up to date for the family.

Strong

Rebuilt the family's document and renewal process into a single tracked calendar, so passports, visas, insurance and property paperwork for the promoter and family never lapse.

Names the change made and the outcome, so a reviewer can see a system you built rather than a vague made sure everything was up to date.

If a bullet would read identically on any PA's resume, it is describing the job title, not you. Name the principal, the breadth of their life you held and what ran better, until it only fits the person you actually supported.

Showing discretion and the personal blend, not just listing them

The single most common PA resume failure is a skills line that reads diary management, travel, correspondence, confidentiality, multitasking with no bullet anywhere that shows any of it across a real private life. A parser matches those terms, but a hiring individual reads the line and assumes it is the generic PA template, then wonders whether you have actually been trusted with someone's household, finances and family. The fix is to let the experience prove each claim. If you write confidentiality, name the confidential scope you handled: personal finances, family documents, private correspondence, all with no leak. If you write personal coordination, name the breadth: calendar, household staff, family schedule, errands. If you write travel, state the number of trips a year and whether it included international and visa work. The mid-level sample lists exactly these because the bullets show each one across the professional and personal side. Be clear about the type of principal and the breadth of support, because that is what tells a hiring individual whether you fit. PA to a partner who needs a professional diary managed, PA to a director whose household you also run, and PA to a promoter with a family office are three different jobs. Naming which you have done is what matches you to the role. Name the tools by their real names where you use them, Google Workspace, MS Office, calendar and expense apps, but do not pad. For a PA the systems matter less than the breadth and the trust, so lead with those and let the tools support them. The genuinely core traits, discretion, loyalty and judgement, belong on the page, but they land far better when a bullet above already shows you holding someone's private life with care.

For every PA skill on your line, ask: is there a bullet that shows it across a real private life. Confidentiality with personal finances and family documents behind it is a claim. Confidentiality on its own is a word every PA writes.

The skills section: grouped, honest, and built on trust

A PA resume's skills section has two audiences with opposite preferences. The parser wants literal terms it can match, diary management, travel coordination, confidentiality. A hiring individual wants a short, organised list that signals how much of their life they could hand you. Grouping satisfies both. Group by function rather than one long line. Personal support, coordination, and tools is a grouping that works for almost every PA. Personal support covers calendar, travel, correspondence, personal finance and document renewals. Coordination covers household, family schedule, staff, events and vendors. Tools covers the exact systems, Google Workspace, MS Office and any calendar or expense app. Write the names the way the industry writes them, so a parser matches the string. Twelve to sixteen skills is the working range. Below eight the section looks thin. Above twenty it stops being a signal, and a PA resume is especially prone to trait padding, listing loyal, sincere, dedicated, multitasker, hardworking as five items when a hiring individual wants to see the breadth of support and the systems. The list is a contract: every item is a question you have agreed to answer, so a PA who lists household coordination should be ready to describe the home and staff they ran. Do include the genuinely core soft skills, discretion, loyalty and judgement, because for a PA these are the job rather than filler. They land far better, though, when a bullet above already proves them, for example handling personal finances with no issue over years. Skip star ratings, which invite an argument nobody wins.

Cuts the unprovable traits, adds the exact personal-support tasks and coordination scope a hiring individual looks for, and keeps only the traits the role genuinely runs on.

Where education and certifications belong

Education goes at the bottom for anyone with a full-time job, and near the top for a junior PA who has little else to lead with. Degree, institution, years. That is the whole entry for most people. Any graduation is fine for a PA role, since the job is judged on trust, organisation and judgement rather than a specific discipline. CGPA or percentage is worth keeping while you are early-career and it is good, roughly 65 percent and above, because early screening still filters on it. Once you have your first PA role behind you, drop it. A number from years ago competes for space with the principals you have kept on track, which is far more predictive. Certifications sit just below skills, or beside them if you hold only one or two. Write the full name, the issuing body and the year. For a PA, an office or executive-management diploma and a business-communication certificate add early-career weight, and for senior roles a family-office administration credential signals you can handle the private-wealth side. These matter most when you have little experience, and less once you can point at a promoter whose life you ran. An expired certification listed as current is a small dishonesty that is easy to catch, so renew it or remove it. Drop school details once you have a degree, and skip coursework lines entirely, since no principal hires a PA on which electives they took.

Getting through the applicant tracking system

Many PA roles, especially at corporates and larger family offices, come through an applicant tracking system, which is a parser and a search index, not a judge. It reads your file, tries to break it into name, dates, employers, titles and skills, and stores the result so a recruiter can search across candidates. Almost every ATS problem is a parsing problem, and parsing problems come from layout, not wording. The layout rules are short. One column. Standard section headings, so use Work Experience rather than My Journey, and Skills rather than My Qualities. No text inside images, because a decorative strip reads as empty space. No critical information in the header or footer region, which some parsers drop. Avoid text boxes and nested tables in the resume body. On wording, mirror the language of the posting where honest. If the role says personal assistant, use personal assistant in your headline rather than PA alone, then use PA elsewhere so both searches find you. If it names Google Workspace or a specific tool, name the same. Spell an acronym out once, for example PA (personal assistant), so both forms match. Keyword stuffing does not work, and PA resumes are a common offender with a block of every duty and trait crammed in. Recruiters find it quickly, and the outcome is worse than being filtered. Write real bullets that naturally contain the right terms, because a bullet describing the household you coordinated contains household, staff and schedule in a context that survives human review too. Save as PDF from a tool that embeds real text, then open the file and confirm you can select and copy a sentence. If you cannot select the text, neither can the parser.

Section heading
Weak

All About Me and My Work

Strong

Work Experience

Parsers look for standard headings; a creative one can push the entire block into an unclassified bucket the recruiter never searches.

Test your own file before you send it. Copy the text out of the PDF into a plain text editor. Whatever you can read there is roughly what the parser sees, and anything scrambled is a real risk.

What gets personal assistant resumes rejected

Most rejections at the resume stage are not close calls. They come from a small set of recurring problems, and all of them are fixable in an afternoon. The list below covers what recruiters and principals reviewing Indian PA resumes see most often, in rough order of how much damage each one does.

  • Not naming the principal or the breadth of support. PA to a promoter whose household you run and PA who managed a diary are different jobs, and the resume must say which.
  • Pure duty bullets with no scale or breadth. Maintained diary and made bookings tells a hiring individual nothing about how much of the person's life you held.
  • A wall of traits, loyal, sincere, dedicated, as the whole skills section, where the breadth of support and the systems should be.
  • No numbers or scope anywhere. Appointments a week, trips a year, homes and staff coordinated, events run. Pick whatever is honest for the work.
  • Selling discretion with adjectives instead of showing it. Name the confidential scope you held, personal finances or family documents, as a plain fact.
  • A generic objective line. Replace it with a summary that names the principal, the tenure and how much of their life you ran.
  • Exposing a real private employer's identity or personal details, which shows exactly the lack of discretion the role cannot have.
  • Date of birth, marital status, father's name and a full home address, none of which belongs on the resume.
  • The same resume sent for a corporate PA and a family-office PA without changing the emphasis at the top.
  • Typos and inconsistent formatting, which for a role built on trust and attention to detail, undermine the whole application.

For a PA role the resume is itself a test of judgement: what you choose to reveal and how carefully you present it are part of what you are being screened on, so keep it precise, discreet and error free.

Certifications worth listing as a personal assistant

CertificationFull nameWorth it for
Office Management DiplomaDiploma in Office and Executive ManagementA solid credential for candidates moving from front office or admin into a dedicated PA role, since it covers calendar, travel, correspondence and coordination formally. Most useful in the early years; assumed rather than checked once you have run a principal's professional and personal life.
Business CommunicationCertificate in Business CommunicationWorth it for PAs who draft a principal's correspondence and deal with their contacts, since email etiquette and professional spoken communication are daily work. Most valuable for candidates whose written and spoken English is a selling point they want to evidence on the page.
Family Office AdministrationCertificate in Family Office AdministrationA differentiating credential for senior PAs aiming at high-net-worth principals and family offices, since it signals familiarity with private-wealth, household and estate coordination. Most useful once you are targeting promoter and family roles rather than a standard corporate PA position.
Advanced ExcelAdvanced Excel CertificationA practical credential for PAs who track a principal's bills, reimbursements and household budgets. Useful for junior and mid-level PAs to show they can keep clean records; carries less weight for senior PAs whose value is judgement and discretion rather than spreadsheets.
Office Admin CertCertificate in Office AdministrationA reasonable baseline credential for a junior PA to demonstrate readiness on scheduling, correspondence and office coordination. Carries little weight on its own for experienced PAs, who should point at the principals they supported and the breadth of life they ran instead.

Personal Assistant resume FAQ

What salary can a personal assistant expect in India?

A junior PA or office coordinator typically starts around 2.5 to 5 LPA. A PA with four to eight years supporting a director or partner usually sits in the 5 to 10 LPA band, more in metros and in demanding client-facing roles. A senior PA to a business promoter or to a family office, especially one managing household and personal-finance coordination, commonly earns 10 to 20 LPA and beyond, with live-in and high-net-worth roles sometimes higher and often carrying allowances. Breadth across professional and personal life, global travel management and genuine discretion push the upper end of every band.

What is the difference between a personal assistant and an executive assistant?

An executive assistant supports a leader's professional life, calendar, travel, inbox, meetings and often board work, and is judged on how well the business function around that leader runs. A personal assistant usually supports one individual across both professional and personal life, calendar, travel, correspondence, household, family schedule and personal finances, with discretion across their private world at the centre. Many roles blend the two, so if you have done both, name it, but pitch the resume at the role you are applying for and lead with the scope it values most.

How long should a personal assistant resume be?

One page up to about eight years of experience, two pages only for a senior PA whose second page carries real household, family-office or team scope rather than a longer list of errands. The role is judged on trust and organisation, so a clean, well-structured page that names the principals you supported and how much of their life you ran is stronger than two padded pages. If you are struggling to fit one page, cut the oldest role to a single line and remove any generic trait list.

How do I show discretion and trust on a PA resume?

Show it rather than decorate it. Instead of writing loyal, trustworthy and highly discreet, name the confidential scope you actually held: personal finances, family documents, private correspondence, investment and philanthropy coordination, all with no issue over years. Discretion is the core of the PA role, so a plain factual statement of the sensitive matters you were trusted with reads as far more credible than an adjective, and it tells a principal exactly the kind of trust they can place in you.

How does a fresher or junior candidate write a PA resume?

Lead with any front-office, coordinator or internship work, then education, then skills. Treat each experience as evidence you can keep one busy person organised: how many appointments you managed, bookings made, commitments tracked and followed up, errands handled. Front-office cover, office coordination and internship admin work all count, because each shows you handling real scheduling, correspondence and follow-up rather than only listing qualities. Add any checkable credential such as an office-management diploma, since verifiable facts carry more weight than adjectives.

Should a PA resume mention personal and household tasks?

Yes, when the role includes them, because coordinating a principal's household and personal life is exactly what distinguishes a PA from an EA. Name the breadth honestly: family schedule, domestic-staff coordination, personal-finance and document management, personal events. This shows a hiring individual that you understand and can hold the personal side, which many candidates leave off because they think it is less professional. For a family-office or promoter role, that breadth is precisely what is being hired.

What tools should a personal assistant list on a resume?

The systems you actually use, named the way the industry writes them: Google Workspace or Microsoft Outlook for calendar and correspondence, MS Office and Excel for records and budgets, and any expense, bill or travel-booking app you run for the principal. WhatsApp Business is a genuine coordination tool for many PAs. Do not pad the list, since for a PA the breadth of support and the trust matter more than the software, so lead with those and let the tools support them.

Does an ATS reject resumes with two columns?

It does not reject them outright, but some parsers read multi-column layouts out of order, which interleaves your sidebar with your experience and produces nonsense in the recruiter's view. Corporate and larger family-office PA roles often route through an ATS, so a single-column layout removes the risk, which is why all three samples above use one. Test your own file by copying the text out of the PDF into a plain text editor, and if it reads in order there it will most likely parse correctly.

How do I protect a private employer's identity on my resume?

Name the type of principal and the nature of the business rather than anything that could identify a real private individual, for example PA to the promoter of a manufacturing group rather than the person's name and home. Describe the scope and results without private details, dates, addresses or figures that belong to the employer. This protects the very confidentiality the role depends on, and a hiring individual reads that restraint as evidence of exactly the discretion they are looking for.
